Secretary to the Village Manager

The Village of Hastings-On-Hudson is seeking an enthusiastic, organized, and efficient part-time (171/2 hours/week) secretary to the Village Manager to provide overall support with administrative detail, personnel procedures and general office assistant duties involving responsibility for the performance of a wide variety of tasks. The position requires considerable contact with the public, public officials, and Village personnel and the ability to get along well with others; prioritize and communicate. The ideal candidate will have good knowledge of the fundamentals of modern office practices, procedures, and equipment together with the ability to work independently and apply good judgment to ensure efficient operations in the Village.

Job tasks may include preparation of reports, letters, or memoranda; scheduling appointments, conferences, and meetings; referring inquiries to appropriate personnel; assisting in the preparation of Village budget; processing and keeping financial accounts as assigned; managing files; processing claim forms dealing with vendors and confidential personnel record maintenance.

Must be proficient in computer applications such as spreadsheets, word processing, email, and calendar with the ability to learn new software. Salary is $17-$20 / hour commensurate with experience.

Payroll and Human Resources Administrator Position Available

The Village of Hastings-on-Hudson is looking to retain a full-time Staff Assistant in Finance and Administration to provide payroll, human resources, and financial record-keeping duties. The ideal candidate will have good knowledge of the fundamentals of modern office practices, procedures, and equipment together with the ability to work independently and apply good judgment to ensure efficient operations in the Village. Responsibilities include preparation of payroll and associated records regarding deductions, tax and retirement, and other information; maintenance of personnel files, and attendance records; preparation and submission of civil service paperwork to the County Department of Human Resources; and preparation and filing of reports to the State and County.

The ability to perform mathematical calculations accurately, maintain complex records and plan and organize work is essential. Other responsibilities may include the reconciliation of bank statements, assistance with preparation of the annual budget and monthly reports of receipts and disbursements. Position requires frequent contact with fellow employees and requires courtesy, tact, integrity, and honesty.

Must be proficient in computer applications such as spreadsheets, word processing, email, and calendar with the ability to learn new software. Experience with ADP payroll software is desirable. The ideal candidate will possess a Bachelor's Degree in Business Administration, Public Administration, Accounting or Finance. At minimum, a candidate must possess a high school diploma with 6 years of experience in financial record keeping or an Associate Degree and four years of said experience. Part-Time Assistant Court Clerk

The Village of Hastings on Hudson is currently seeking a part-time Assistant Court Clerk (17 hours per week). Applicants must meet the minimum qualifications for Assistant Court Clerk as described by Westchester County Human Resources.
 
Responsibilities include but are not limited to: under supervision of the Court Clerk, perform clerical work of a specialized nature involving responsibility for the preparation and maintenance of court records including legal documents, forms and reports; interact with attorneys and the general public regarding the local court procedures. Work is performed manually and/or using automated office equipment. Supervision is not usually a function of this position. EXAMPLES OF WORK: (Illustrative Only) Handle court mail and correspondence; Collect fines, issue receipts, and maintain accounts of amounts collected; use computer applications or other automated systems such as the Courtroom program, word processing, calendar, and Microsoft Outlook in performing work assignments.
 
Additional hours will be required as needed when the Court Clerk has scheduled time off or sick days.  Compensation range is $16 - $19 per hour commensurate with experience.
